# Clockless privacy

How Clockless handles your organisation's information, in plain terms.

**Clockless** (formerly Team Presence) is run by **Xcelerent Pty Ltd** (ABN 14 701 983 995, ACN 701 983 995), Sydney, Australia. This is a plain-language summary, **not a formal legal privacy policy**; if your organisation needs one prepared to the Australian Privacy Act, it should be written and reviewed with proper legal advice.

Your organisation decides to use Clockless and controls what is collected about its staff. I process that information on your organisation's behalf.

## What it collects

- **Staff list:** name, email and account ID of licensed members of your Microsoft 365 organisation.

- **Teams presence:** each person's Teams status (such as Available, Busy, Away, Offline or Out of office), checked about every 5 minutes.

- **Teams activity counts:** daily numbers of chat messages, calls and meetings from the Microsoft 365 usage report — never message content.

- **Administrators:** name and email of the people who sign in to manage the service, and a log of their settings changes.

- **Settings your administrators enter about staff:** for example, who isn't tracked and, where staff work in different states, each person's state (used to apply that state's public holidays, and shown beside their name in reports).

It doesn't read email, chats, files or calendars, doesn't install anything on staff devices, and never takes screenshots or records keystrokes.

## How it's used

Only to produce the availability reports your organisation asks for. Reports go only to the addresses your administrators choose, all within your own email domain. I don't sell the data, use it for advertising, or combine it with other customers' data.

## Staff notice

Collection doesn't start until 14 days after your administrator records the date staff were given written notice. Your organisation is responsible for that notice and for how it uses the reports.

## Where it's stored, and for how long

- In Microsoft Azure, Australia East, in a separate database for each customer, encrypted at rest and in transit.

- Detailed 5-minute records are deleted after 90 days. Daily totals are kept for about 2 years, for yearly reports. Backups are kept for 7 days.

- When a subscription is cancelled, that customer's data is deleted 30 days later.

## Who can see it

Your organisation's Clockless administrators and report recipients, and me when needed to run or support the service. Microsoft provides the hosting and email delivery.

## Your choices

Your administrators can stop tracking a person, change who receives reports, ask me to delete a person's stored data, or remove Clockless's access at any time by deleting the *Clockless by Xcelerent* enterprise application in Microsoft Entra (today it is shown as *Teams Presence Monitor*, app ID 998a5604-2e87-4ade-b726-253c838557e3; the name changes with our next update). Staff can ask their employer for a copy of their own data.
